Privacy Notice

1. Information we collect

When you send an inquiry through our website, our reservation form may collect: your name, email address and phone/WhatsApp number; the villa, hotel or location where the service will take place; your requested dates and hours; the number and ages of your children; and, optionally, whether a child needs any additional support that may affect caregiver matching. We use this to understand your childcare needs and work out the right caregiver arrangement. At this stage, we don't ask for allergies, detailed routines, sleep schedules or medical information — we don't need it yet.

Once you confirm a service, we may ask for care-specific information — through whatever channel we're already using with you, usually WhatsApp or email — so your caregiver can prepare properly. This can include your child's name, relevant routines or care instructions, allergies, medical restrictions, or other care needs. We only ask for what's reasonably necessary for that particular service, and we ask families to share only what's relevant to their child's care.

Some of what you share at this stage — health-related information, allergies or medical restrictions, for example — may be considered sensitive personal information. When that's the case, we'll ask you to confirm that you authorize We Care to use it to prepare for and provide your confirmed service, and, where necessary, to share the relevant details with your assigned caregiver.

When you contact us directly by WhatsApp or email, we receive whatever you choose to send us. WhatsApp conversations happen on WhatsApp's own platform and are also subject to WhatsApp's privacy terms.

When you simply browse our website, our hosting and analytics providers automatically receive standard technical information, such as your IP address, browser type and the pages you view — see Analytics & cookies below.

Parents and guardians are responsible for providing information that is accurate and reasonably necessary for We Care and your assigned caregiver to prepare for and provide the requested service. If you share information about a child, please make sure you're authorized to do so, and please let us know if anything you've previously told us has changed.

We don't collect payment information through this website, and we don't ask for children's photographs or identity documents.

2. If you don't go on to book a service

If you send us an inquiry and don't go on to confirm a service, we don't add you to our client records. Your original inquiry may still exist for a time in the systems that run our website and communications — see Website hosting & forms below.

3. How long we keep information

For a confirmed service, we keep a limited record — generally for up to two years after your most recent service with us, so we can provide continuity of care if you return. Between two and three years without another service, we review that information for clean-up. After three years without another service, we delete or minimize it, unless we're required to keep something for a legitimate accounting, tax, contractual or legal reason. If you book with us again, this period restarts from your most recent service.

Care-specific information you've shared with us — such as routines or health-related details — is kept only for as long as it's needed for the relevant service. For a future booking, we'll ask you to reconfirm this information rather than relying on what you told us before.

4. Website hosting & forms

Our website is hosted by Netlify, and our reservation form is processed through Netlify's form service. When you submit an inquiry, Netlify receives and stores that submission and we receive a notification. This is separate from, and does not automatically become, the client record we may create manually once a service is confirmed.

5. Sharing information with your assigned caregiver

Our caregivers are independent service providers, not employees of We Care. Once you confirm a service and we've assigned a caregiver, we ask for your authorization to share with her the information reasonably necessary to prepare for and provide that specific service — for example, the service location, dates and hours, the number and ages of your children, and any relevant routines, allergies or care instructions you've given us. Your assigned caregiver does not receive your complete history with We Care — only what's relevant to the service she is providing.

6. Other services we use

We link to TripAdvisor, Instagram, Google Maps and WhatsApp in a few places on our site. These are simply links to those platforms, not services we've embedded to collect information about you — once you follow one, that platform's own privacy practices apply to what happens there.

7. Analytics & cookies

We use Google Analytics to understand how many people visit our website and how they use it. This creates cookies in your browser, but it does not identify you by name, and we do not send it your name, email address, phone number or anything you write into our forms. We do not use advertising or retargeting cookies, and we don't use tools like Meta Pixel or similar behavioral-advertising trackers. You can block or delete cookies at any time in your browser settings.

8. Marketing

We contact you about your inquiry, your booking, or in response to a message you send us. After a completed service, we may reach out once to ask how it went and to invite your feedback — this is service-related follow-up, not an ongoing marketing program. We do not send promotional emails or newsletters. If that changes in the future, we'll update this notice before we do.

9. Children

Our website and services are intended for parents, guardians and other responsible adults — not for children to use directly. We do not knowingly collect information from children through our website. Any information about a child reaches us because a parent, guardian or other authorized adult has chosen to share it with us in the course of arranging care.

10. International families

We Care operates in Mexico and regularly cares for the children of families visiting from other countries. Wherever you're visiting from, the information you share with us is handled here in Mexico, under Mexican law, and by the service providers described in this notice.

11. Your privacy rights

Mexican privacy law gives you the right to access, rectify, cancel, or object to the use of your personal information — often referred to as ARCO rights. You can exercise these rights, or ask us any question about this notice, by writing to the email below. We may ask you to confirm your identity before responding, and we'll reply within the time frame the law provides.

12. Disclosure required by law

We may disclose personal information where required or permitted by applicable law, in response to a valid request from a competent authority, or where necessary to establish, exercise or defend a legal right. Nothing in this notice limits our ability to retain, use or disclose information where the law requires or expressly allows it.

13. Changes to this notice

If we update this notice, we'll change the date at the top of this page and post the new version here.
